Nature of Work

Acts as office manager to organize, maintain, and coordinate all aspects for the Office of the Vice President for Enrollment Management and Senior Director of Student Affairs that includes tasks, assignments, and situations of varied scope and complexity. Provides highly dependable and responsible administrative and clerical assistance that require independent judgment, initiative, confidentiality, accuracy, adaptability, diplomacy and tact within a fast-paced environment

Examples of Work Performed

Essential Duties:
1. Processes all office details not requiring VPEM and SDSA action
2. Manages all activities with the Office of the VPEM and SDSA such as Student Affairs calendar, Student Affairs items for board meetings, staff evaluations, leave of absences, Student Affairs ceremonies and functions, and other related matters
3. Plans, schedules, coordinates, attends (as requested), and implements activities and meetings involving the Student Affairs team, Steering Committee, Behavior Intervention Committee and other relevant committees as assigned
4. Contact members about meetings and distributes minutes and agendas
5. Maintain Student Disciplinary Files
a. Organize and file student disciplinary documentation
b. Update violation reports
c. Issue letters to student and collect fines
6. Report student absences
a. Receive information from student or family member
b. Contact instructors as to why and how long student will miss classes
7. Coordinate Behavior Suspension Appeals
a. Send email messages and/or letters to students who have been suspended for behavior problems
b. Collect suspension appeal forms
c. Gather information and prepare packets for each student presenting an appeal
d. Attend Suspension Appeals Committee meetings, take notes
e. Send letter to students regarding decision of committee
8. Coordinate the set-up, communication and collection of the Campus Climate Survey and distribute to responsible constituents.
9. Coordinate the set-up, communication and collection of the on-line education programs on alcohol abuse and sexual assault and distribute results to responsible constituents
10. Update pamphlets, brochures and other forms associated with the Office of Student Affairs each year: Student Handbook, Safety and Security brochure, Release of Information Form, etc.
11. Monitors expenditures and budgetary accounts for student affairs, including preparing purchase orders and accounts payable forms, maintaining current balances on department budgets
12. Report monthly vacation and sick leave taken by department members; maintain employee leave reports
13. Coordinate calendars of VPEM and SDSA
14. Schedule meetings with colleagues
15. Take telephone and walk-in appointments with students
16. Receive, send, and sort mail. Respond as necessary, including mailing various information and written responses as needed
17. Communicates official campus information utilizing various mediums including composing routine memoranda and correspondence that require knowledge of institutional policies and procedures. Identifies avenues to effectively and efficiently communicate information to all campus stakeholders
18. Responds to technical or complicated requests for information from various stakeholders including the Board Office, Cabinet, President, faculty, staff, students and other entities
19. Carries out all other duties as assigned in a professional manner and maintains confidentiality
Secondary Duties:
1. Represents the Office of the Vice President for Enrollment Management or Senior Director of Student Affairs at activities and meetings as assigned
2. Maintain office files and supplies
3. Make travel arrangements for VPEM and SDSA as well as visiting individuals
4. Other related duties as assigned by the immediate supervisor

Required Qualifications

Graduation from Senior High School or equivalent supplemented by an Associate’s degree in Business Administration or related field and two to three years of clerical experience or any combination of skills, knowledge and abilities that meet these requirements.

Preferred Qualifications

Knowledge of a set of standardized practices, procedures, and rules or operations that are extensive and that require extended education
Four years’ of office or secretarial work including some supervisory experience

Physical Demands

The physical requirements for this position may include, but are not necessarily limited to, the ability to use a computer, calculator, telephone, keyboard, and/or various types of office equipment.  Must be able to effectively communicate in verbal and written formats and satisfactorily perform the functions of this position.

Salary Information $25,771.20 commensurate with qualifications based on the NAPE agreement. Excellent benefits package.
