Job Title Office Assistant II
Nature of Work

Provide support in the Human Resources department. Must be able to handle confidential information and demonstrate proficient computer skills using various software programs. Professional customer service and organizational skills are necessary requirements

Examples of Work Performed

Essential Duties:
• Application processing and job posting for all Faculty, Professional Staff, and Support Staff vacancies
• Manage position information for Faculty, Professional Staff, and Support Staff (includes maintaining and updating job descriptions)
• Provide Search Committee support
• Coordinate travel and lodging arrangements for applicants
• Process conviction notices, background checks and E-verifications
• Set up personnel, evaluation, and hiring files for all new employees assuring appropriate documentation has been completed
• Answer applicable Human Resources telephone lines and email accounts, responding to inquiries using professionalism and good customer service skills
• Assist with processing of 6 month and annual performance evaluations
• Generate Accounts Payable requisitions for HR Department
• Prepare award notifications and maintain log for Faculty, Professional, and Support Staff Development Grants
• Assist students and employees with questions and completion of forms
• Assist with maintenance of the Human Resources website and employee database
• Maintain and balance monthly budget statements

Secondary Duties:
• Assist with organization of campus trainings
• Maintain office inventory
• Process and maintain logs for employee tuition waivers
• Update forms and paperwork as directed
• Photocopying, filing, correspondence, and distribution
• Other duties as assigned by supervisor

Required Qualifications

High School Degree or equivalent
Previous clerical work experience
Professional customer service and organizational skills
Highly proficient in Excel, Word, etc.
Ability to use standard office equipment
Ability to communicate effectively in verbal and written formats
Ability to handle time sensitive and highly confidential material
Attention to detail

Preferred Qualifications

Previous work experience in the Human Resources area
Experience with PeopleAdmin software

Physical Demands

The physical requirements for this position may include, but are not necessarily limited to, the ability to use a computer, calculator, telephone, keyboard, and/or various types of office equipment.  Must be able to effectively communicate in verbal and written formats and satisfactorily perform the functions of this position.
