Job Title Office Assistant II
Nature of Work

This position supports the departments of Visual and Performing Arts and Music and the Academic Deans in a team-based approach.

Examples of Work Performed

Essential Duties: (OA II’s work as a team for Academic Affairs)
1. Maintain, organize and monitor office records, inventory and processes
2. Develop and organize reports as directed by department chairs and program director such as student lists, schedules, etc.
3. Maintain budget and expenditure reports as directed by department chairs and program director
4. Respond to phone, walk-in, and e-mail requests for information
5. Keep minutes of meetings
6. Oversee special projects and functional aspects as established by department chairs and program director
7. Prepare program promotional items and mailings
8. Maintain student worker records and assist with student work schedules
9. Assist with communication in regards to special events specific to Memorial Hall

Secondary Duties: (Cross-training)
1. Cross-train with other campus OA II’s in cases of demanding work load and/or absence from work
2. Secure office supplies for the departments, faculty and staff
3. Secure outside doors at the end of each work day
4. Other duties as assigned

Required Qualifications

High School diploma or equivalent
Any combination of education, training, and work experience that enables the individual to perform the duties and responsibilities for this position

Physical Demands

The physical requirements for this position may include, but are not necessarily limited to, the ability to use a computer, calculator, telephone, keyboard, and/or various types of office equipment.  Must be able to effectively communicate in verbal and written formats and satisfactorily perform the functions of this position.
