Job Title Office Assistant II
Nature of Work

This position supports the Dean of BEAMSS, Academic Deans, Associate Vice President of Teaching and Learning Technologies and the Office of the Vice President for Academic Affairs in a team-based approach.

Examples of Work Performed

Essential Duties: (OA II’s work as a team for Academic Affairs)
1. Assist supervisor and chairs with regular communications and document maintenance
2. Development and organize reports as directed by the supervisor such as faculty load reports, schedules, etc.
3. Enter and proofread data for program accountability and improvement
4. Develop and proofread reports
5. Budget:
a. Reconciliation of all school budgets including the dean’s VISA card
b. Preparation of forms i.e. Accounts Payable, Purchase Orders, Expense Reimbursements, Food Expenses, etc.
6. Scheduling:
a. All BEAMSS course matrix (collection and entry of data into PeopleSoft)
b. 4-year course rotation for all departments in the school
c. Preparation of advising template for all departments in School
d. Maintain dean’s calendar
7. Advisor Assignments for Campus
a. Make changes on PeopleSoft for entire campus
8. Minutes:
a. BEAMSS meetings
b. Other meetings assigned by Dean of BEAMSS
9. Grades:
a. Reporting of “not graded” courses before grading deadline
b. Entry of grades for BEAMSS (midterm, semester, Incompletes, In Progress, etc.
10. WebTMA:
a. Enter maintenance and building issues into the WebTMA system
11. Oversee special projects and functional aspects as established by the supervisor or the Vice President for Academic Affairs
12. Act as content manager for assigned websites.
Secondary Duties:
1. Cross-train with other campus OA II’s in cases of demanding work load and/or absence from work
2. Student workers:
a. Manage data i.e. time sheets approved by Dean of BEAMSS and submit to Human Resources Office weekly
3. Monthly leave reports:
a. Collect all BEAMSS leave reports and send to Human Resources Office
4. Secure office supplies for the dean’s office

5. Inventory:
a. Inventory dean’s and office assistant area in spring
6. Daily responsibilities:
a. Answering phones
b. Email inquiries
c. Directing visitors
d. Assisting students
7. Other duties as assigned

Required Qualifications

High School diploma or equivalent
Any combination of education, training, and work experience that enables the individual to perform the duties and responsibilities for this position

Preferred Qualifications

Associate’s degree in Business Administration or related field
Two years clerical experience
Familiarity with NeSIS and Sakai

Physical Demands

The physical requirements for this position may include, but are not necessarily limited to, the ability to use a computer, calculator, telephone, keyboard, and/or various types of office equipment.  Must be able to effectively communicate in verbal and written formats and satisfactorily perform the functions of this position.
